Cancellation and Damages Policy

 

RENTAL POLICY AND AGREEMENT

 

1. REFUNDABLE DAMAGE DEPOSIT. A refundable damage deposit, as indicated in the property details website, must be paid at the time of check-in by credit or debit card used to book the property. We will put this amount on hold until we have made sure that no damage has occurred. Guests are responsible for any damage that may occur within the property during the course of their stay. Removal of any items shall be treated as theft and will be reported immediately. All items found inside the property upon arrival must be in good condition prior to departure. No disputes regarding caretaker's report are accepted. A fee will be charged appropriately if damages are present to the property including furniture, appliances, bed linen and towels.


Guest is given the option of purchase the Security Damage Protection: As part of your stay you may purchase a Secuirty Damage Protection plan designed to cover unintentional damages to the rental unit interior that occur during your stay. If purchased, the policy will pay a maximum benefit of $3,000/£2,500. Any damages that exceed $3,000/£2,500 will be charged to the credit card on file. If you damage the real or personal property assigned to your rental accommodation during the trip, the Insurer will reimburse us of the cost of repairs. Certain terms and conditions apply. Please ask us for full details of the Security Damage Protection coverage are contained in the Certificate of Insurance or Insurance Policy.

 

The Security damage Protection can be purchased up to, and including at, check-in. By submitting payment for this plan, you authorize and request  Travel Protection and Insurance Services to pay directly Cleugh Manor any amount payable under the terms and conditions of the Security damage Protection. If any accidental damage occurs please contact us and ask us for the claim form before your departure.


2. UNDERAGE. You must be 21 years of age to rent any of our properties and provide proof of age if requested.

 

3. LINEN &TOWELS. Bedding and towels must be stripped and ready for laundry prior your departure. You will be charged for lost or damaged linens.

 

4. CLEANLINESS. All debris, rubbish and discards must be placed in a trash receptacle, and soiled dishes should be placed in the dishwasher when leaving the apartment. Please run the dishwasher prior your departure.

 

5. STAY. The renter's stay will be limited to the time allotted and confirmed on the paid reservation.

 

6. MAXIMUM OCCUPANCY. The maximum number of guests is limited to the number specified in the details. Guests will be forced to an eviction if exceed maximum occupancy of the property.

 

7. NO PARTIES OR GATHERING GROUPS WITH MORE THAN MAXIMUM OCCUPANCY OF THE PROPERTY ARE ALLOWED. Parties, which are defined as social gatherings involving food and/or entertainment, consisting of a gathering at the property with more people than the one specified on the description of the property on our website. Violating this policy will force an eviction of the guests and a $300//£250 penalty fee will be charged to your account per violation.

 

8. NO SMOKING INSIDE THE PROPERTY AND NO SMOKING IN OUTDOORS SPACES OF THE PROPERTY (Terrace, Deck, Patio, Rooftop deck, etc.). This is a non smoking property. Violating this policy will force an eviction of the guests and a $1000//£750 penalty fee will be charged to your account.

 

9. KEYS. For everyone's safety, please ensure that main door is locked when leaving the house and assume responsibility for the keys. If your keys are accidentally lost a fee of $75//£50 will be charged. If you loose your keys or lock yourself out, please contact caretaker designated and you will be asked to meet caretaker designated to pick up your new keys. Keep all valuables inside the property. Cleugh Manor will not be responsible for any lost/damaged personal items.

 

10. NO PETS IN THE PROPERTY. Pets are not allowed. Violating this previous policy will force an eviction of the guests and a $300//£250 penalty fee will be charged to your account.

 

11. CHECK-IN TIME IS AFTER 1:00 P.M. PST AND CHECK-OUT IS 11:00 A.M. GMT. Early check-ins or late check-outs must be approved in advanced. Please note that arrivals after 7:00 PM carry an additional charge of $20//£15 if personal assistance is required.


Important note: Usually check in times for vacation rentals are 3:00 PM or 4:00 PM. If you arrive and we still need some more time to finish cleaning the property you will be kindly asked to drop your luggage off, take the keys with you and come back later. We hope you don't mind!

 

13. WRITTEN EXCEPTIONS. Any exceptions to the above mentioned policies must be approved in writing in advance.

 

CHECK-IN PROCEDURE AND KEYS

 

1. CHECK-IN TIME IS AFTER 1:00 P.M. PST AND CHECK-OUT IS 11:00 A.M. GMT. Early check-ins or late check-outs must be approved in advanced. Please note that arrivals after 7:00 PM carry an additional charge of $20//£15 if personal assistance is required. Important note: Usually check in times for vacation rentals are 3:00 PM or 4:00 PM. If you arrive and we still need some more time to finish cleaning the property you will be kindly asked to drop your luggage off, take the keys with you and come back later. We hope you don't mind!

 

2. KEYS, HOW TO GET IN THE PROPERTY. We will send you precise instructions by email 7 to 10 days before your arrival to perform one of the following check-in procedures:

 

Procedure 1: We will meet you at the property and will check you in. Call us when landing at the airport or 1hr before you are planning on arriving at the property to arrange meeting. For arrivals after 7:00 PM we can ask you to meet at a different location.

 

Procedure 2: You will perform a self check-in which will require you to retrieve keys from a key lock box located at the same property.

 

Procedure 3: You need to meet us at our Office to pick up the keys. Call us when landing at the airport or 1hr before you are planning on arriving at the office at  to pick up the keys. For arrivals after 7:00 PM we can ask you to meet at a different location.

 

Important notes: Please make sure you check your email 7 to 10 days before your arrival. If for any reason you have not received an email with check in instructions, you need to call us when landing at the airport or 1hr before you are planning on arriving at the property and we will give you the instructions.

 

PAYMENT POLICY AND FORMS OF PAYMENT

 

***A valid credit or debit card is required to guarantee and pay your reservation***

 

The 20% of the total amount of your reservation will be charged to your credit or debit card at the time you submit your reservation.

 

If your reservation is made wihin 30 days of your arrival day the total amount payable will be charged at time you submit your reservation.

 

For the remaining 80% payment of the amount due, please choose one of the following options:

 

Pay the remaining 80% with  your credit.debit card before 30 days prior to your check-in . 

 

Note: All payments with credit or debit card are subject to a processing fee depending on the type of credit or debit card that you use; Visa (2.5%), Master Card (2.5%) or American Express, Master Card World Card and Business Master Card (3.5%). This processing fee will be added after you submit your reservation.

 

CANCELLATION AND CHANGE POLICY AND REFUNDS

 

Section A Confirmed reservations canceled within more than 30 days prior to arrival date, are subject to a 20% reservation fee.

 

Section B Confirmed reservations canceled 30 or less days prior to arrival date are subject to the full reservation charge (No refund).

 

However if Cleugh Manor can rebook the property for the same days you are canceling we will refund you the amount paid and will only charge you the $125//£100 cancellation/change fee.

 

Section D Changing your dates to your reservation 30 or less days prior arrival date are subject to Cancellation policy described above.

 

Section E Changing your dates to your reservation within more than 30 days prior your arrival date are subject to $100//£75 change fee. If complete dates are changed then Cancellation policy described above on Section A applies.
